These Terms and Conditions apply to all safari and travel bookings made with Vaa Africa Ltd. By confirming a booking with us, you agree to the following terms.
1. Contract
Your contract is with Vaa Africa Ltd, a tour company operating safaris and travel services in Tanzania and East Africa.
All bookings made with Vaa Africa Ltd are subject to these Terms and Conditions. By requesting us to confirm a booking, you confirm that you have read, understood, and agreed to these terms before entering into a contract with us.
2. Booking Procedures
A booking with Vaa Africa Ltd becomes confirmed when we receive the required deposit or full payment for bookings made within 10 weeks of departure, and the lead traveler is responsible for ensuring full payment for all members of the group while understanding that availability may change and any unavailable services will be replaced or refunded.
3. Medical Conditions and Disabilities
If you or any member of your travel party has a medical condition or disability that may affect your travel experience, you must inform us at the time of booking.
This allows us to assess the suitability of the itinerary and make appropriate arrangements where possible.
Vaa Africa Ltd reserves the right to decline or cancel a booking if we believe the travel arrangements cannot safely accommodate the traveler’s needs.
4. Travel Documentation
You must carefully review all travel documents, including confirmations, tickets, invoices, and itineraries, and notify Vaa Africa Ltd within 14 days of any errors, as we cannot accept responsibility for inaccuracies reported after this period, and any costs to correct mistakes not caused by us will be your responsibility
5. Cancellation by the Traveler
If you need to cancel your booking, the cancellation must be made in writing.
Cancellation charges apply as follows:

Certain services such as flights, permits, or special accommodations may be non-refundable once booked.
If your cancellation is covered by travel insurance, you may claim the charges through your insurance provider.
6. Pricing and Itineraries
The price of your safari is based on known costs and exchange rates at the time of booking, and Vaa Africa Ltd reserves the right to apply a surcharge if costs increase before full payment is received, while you may cancel and receive a full refund if the surcharge exceeds 10% of the total safari price.
7. Amendments by the Traveler
If you wish to change your itinerary after a deposit has been paid, we will try to accommodate your request where possible.
Changes may incur an administration fee and additional costs depending on the nature of the change.
Changes requested within 10 weeks of departure may be treated as a cancellation and new booking.
8. Cancellation by Vaa Africa Ltd
Vaa Africa Ltd reserves the right to cancel a booking in certain circumstances and, if this occurs, will either provide a full refund or offer an alternative safari of similar standard, while not being responsible for cancellations caused by events beyond our control such as natural disasters, political unrest, epidemics, airport closures, severe weather, or transport disruptions, though we will make every effort to reschedule your safari or provide alternative options.
9. Changes to Your Safari
Vaa Africa Ltd may occasionally need to make minor changes to safari itineraries due to factors such as weather conditions, accommodation availability, park regulations, or operational requirements. In the case of significant changes, clients will be offered the option to accept the new arrangements, choose an alternative safari, or receive a full refund.
10. Traveler Responsibities
Travelers are responsible for ensuring they have valid travel documents including passports, visas, and any required vaccinations before departure. Guests must also arrive on time for flights and safari departures. Safaris in Africa involve travel in remote wilderness areas and interaction with wildlife, and travelers accept these inherent risks when booking.
11. Travel Insurance
All travelers are strongly advised to obtain comprehensive travel insurance that covers medical emergencies, trip cancellations, travel delays, and emergency evacuation. Vaa Africa Ltd cannot be held responsible for costs arising from situations that could be covered by travel insurance.
12. Data Protection
Vaa Africa Ltd respects your privacy and will only use your personal information for booking and communication purposes.
If you do not wish to receive promotional communication from us, you may request removal at any time.
13. Governing Law & Final Agreement
These Terms and Conditions, together with all correspondence and bookings, form the entire agreement between you and Vaa Africa Ltd. This agreement is governed by the laws of the United Republic of Tanzania, and any disputes will be resolved in the courts of Tanzania. By confirming your booking, you accept and agree to be bound by these Terms and Conditions.
